A few questions.
Clear, practical answers.
What a code does, who can see the contact page, and what your team needs on the day.
Choosing Groups
Who is Groups for?
Schools, clubs and organisations planning outings with responsible adults and attendees. Use it for a contact route back to the group, and add individual codes if you want attendance checks.
Is it part of my household account?
Groups has its own accounts and event codes. A household safety code from the consumer app cannot be used as a Groups attendance code.
Is it a tracking device?
No. A check-in records a scan at a check your team has created. It does not show a person’s live location or confirm that they remained on a coach. Continue your normal supervision and headcounts.
What does it cost?
Contact us to discuss access for your organisation. We are not publishing a fixed tariff here yet. Bands and printing are separate: you can use your own supplier.
Bands and printing
One code each, or one code for everyone?
One shared code opens the event contact page for everyone carrying a copy. Individual codes also link to individual attendees for attendance. Choose individual codes if you need to know who checked in.
Do we have to buy bands from you?
No. Generate allocated codes in Groups, then print cards or send the export to your supplier. You can use disposable bands, reusable durable bands, cards or tags. Test a finished sample on the phones you will use before ordering a batch.
Can codes be reused?
Yes. When an event ends, the codes return to your organisation’s own available stock. They stay reserved for your organisation: they do not go into a general pool and another organisation cannot claim them. Assign them for a later outing or print replacements. Permanent retirement is a separate action and disables every copy of that code.
Can we print several copies of one code?
For shared contact finding, yes: that is the purpose of the shared option. For individual attendance, duplicate copies represent the same attendee. Do not give them to different people on the same event.
Does the band show personal details?
The QR code itself does not print a name, organisation or telephone number. You choose any additional artwork or text. Someone with the code or its link can open the active finder page; scanning is not proof of identity.
People and helpers
Do attendees need accounts or email addresses?
No. Add a name or recognisable label to the event register. Paste one attendee per line or upload and review a list. These entries do not create user accounts.
How do parents or other helpers join?
Helpers can join for a particular event using a short-lived joining QR displayed by the organiser, or an email invitation. The QR flow supports organiser approval or automatic approval. They do not need a permanent organisation account.
Is every helper shown on the finder page?
No. Select the public contacts separately. A helper can assist with attendance without appearing in the call list. Public contacts need a friendly name and phone number; helpers must agree to share their number.
Can we change the contact list during the outing?
Yes. Update Finder contacts in the event. The finder page refreshes automatically every five seconds while it is open and connected to the internet.
On the day and afterwards
What does a finder see?
During an active, configured event, the finder page shows the selected responsible adults and buttons to call them. It does not expose the attendee register.
How do we divide the group for attendance checks?
Create an attendance check and divide it into smaller groups or teams—for example, Coach 1, Coach 2 and Coach 3. Staff and helpers select their group and scan people into it. The organiser can see each group, the overall register and who is still unchecked.
Does scanning need a connection?
Yes. An internet connection is required. A confirmation message shows when the code has been scanned and the check-in saved, with an optional sound to confirm success.
What if the outing runs late?
Extend the event before its scheduled finish. The event creator receives an email reminder an hour before the end; push reminders also depend on notifications being enabled on a supported device.
What happens when the event closes?
Finder contacts stop being shared, helper access ends and codes return to your organisation’s own stock. Event records are retained for six months unless the organisation chooses an archive. Closed events show their deletion countdown.
Can an old photograph of a band work again?
Yes. If you reuse a code, an old copy or photograph can open the contact page for its new active assignment. Reuse deliberately. Permanently retire a code if you no longer want any copy to work.
